Responsibilities of students

It is the responsibility of students to read and understand the rules and policies relating to students. Refer to the Responsibilities of Students Policy in the Academic Policies and Procedures Manual: http://www.cqu.edu.au/policy/


E.rolment is CQU's web-based self-service enrolment and student information system. E.rolment gives students greater control over their personal student records. Through E.rolment students are expected to:

Students are expected to enter and maintain their contact information, exam and ID centre, DEST information, course enrolments, academic plan and expected graduation date.

Upon acceptance into a program, students will be forwarded an information package, which will include log-on details to e.rolment as well as information on how to proceed.

You must accept your offer of admission before an enrolment record is created for you. It is imperative that after accepting your offer you log back in to e.rolment the following day to finalise your enrolment i.e. register your course enrolment. Every student will be invited to register their enrolment each academic year with the exception of cross institutional or non-award students. A communication will be mailed out in October advising that re-registration for the coming year can commence.

Each student is responsible for ensuring they are correctly enrolled in the courses necessary for completion of the appropriate year or term of their program and that the courses selected meet their program requirements.

Students who attend classes for courses in which they are not enrolled will not be permitted to enrol into such courses after the respective Census date.

Students enrolled in cross institutional, non-award, bridging and access or research programs will not be able to add courses online. Enrolments for these students will be handled by either Student Administration, the Program Coordinator or the Office of Research.

During orientation, some on-campus students will be required to attend an interview with their program advisor.

Students with a medical condition, disability or specific need should register with the Equity and Diversity Office each year to obtain exam accommodations and other assistance. Students wishing to enrol in a higher-level program may be granted credit for studies undertaken in a lower level program in the same study discipline. For example, a student who has completed an Advanced Diploma of Engineering and wishes to upgrade to the three year Bachelor of Engineering Technology will be granted up to three terms credit towards the higher award. All credit for previous studies must be approved by the relevant Faculty.

Under the Memorandum of Understanding with the Rockhampton College of TAFE and other TAFE colleges, students who have completed studies at associate diploma level may be granted credit for up to one year's full-time study in a degree level program. Students seeking further information with regard to the articulation policy of their Faculty should consult their program advisors.

Change of Name

Students who change their name while undertaking a program or prior to graduation (for example, by marriage) and who wish to have their student record amended, should write to the Manager, Student Records, providing a specimen of their former and current signatures.

Students are requested to supply, where possible, certified documentary evidence, such as a copy of their marriage certificate. Failure to notify the University of such changes could lead to important documents being produced with an incorrect name.

Credit for Previous Studies (Credit Transfer)

Applicants who have previously or partially completed studies towards a recognised tertiary qualification may apply for credit towards a CQU award program. Credit is normally granted only for courses and programs successfully completed in the last 10 years at a recognised tertiary institution, including a college of advanced education, TAFE college (at the level of associate diploma or above), or, if deemed appropriate by a Faculty, under the auspices of a recognised professional body.

An application for credit should not be made until the applicant has received and accepted a formal offer of a place from QTAC or the University. Applicants are welcome to make enquiries in advance about the amount of credit to be awarded and the nature of the resultant study program.

Applicants seeking credit should submit an Application for Credit Transfer, indicating the course(s) for which credit is sought, to their relevant Faculty Program Coordinator/Advisor.

Applications for Credit Transfer will not be considered or approved after 31 March for Term 2 courses and 31 August for Term 3 courses.

Add/Drop/Swapping Courses

Students are responsible for dropping courses in which they are enrolled or add/swapping courses by going online at any time before the final dates for such enrolment changes, which are shown in the Calendar of Principal Dates.

No courses will be permitted to be dropped after the commencement of the official Examination period, which is shown in the Calendar of Principal Dates.

No students shall be permitted to sit for, nor be entitled to receive a grade for, examinations or assessment in courses for which they are not enrolled.

Courses dropped after the specified final date will incur an academic penalty and the result of "Withdrawn Fail" (WF).

Students should be aware any amendments to their enrolments will be reflected in their Notice of Liability. Fees cannot be refunded if a course is dropped after the last day to drop without financial penalty as advised in the Calendar of Principal Dates.

Students dropping courses at any time in the year should check with Austudy/Abstudy to ensure that these changes do not affect Austudy/Abstudy/Youth Allowance entitlements.

Student Identity Cards

All students are issued with an identity card, which should be carried during attendance at CQU and shown on request. The card must be presented when borrowing books from the Library, and/or sitting for examinations.

All students are required to provide Student Administration with a passport-size photo either by mail or electronically.

All student ID Cards will be mailed out.

Student Identification cards are issued for CQU purposes only and should not be lent and may not be transferred.

Any student who loses their identity card should pay a replacement charge through Student Administration who will issue a replacement card.

All student identity cards will reflect a student's workload at the time of issue for that term. If student initiated changes have been made to the enrolment and a replacement identity card is required to show this revised workload, the student will be responsible for the cost of a replacement card.

Students should note the student number on the card, which should be quoted in all correspondence with CQU.
