Enrolment - General

Responsibilities of students

It is the responsibility of students to read and understand the rules and policies relating to students. Refer to Student Charter Policy from the CQUniversity Policy website (http://policy.cqu.edu.au).

CQUcentral

CQUcentral is CQUniversity's web-based self-service enrolment and student information system. CQUcentral gives students greater control over their personal student records. Through CQUcentral students are expected to:

  • monitor new program application status;
  • accept or decline an offer of admission;
  • register enrolment and/or re-enrol;
  • add or drop classes;
  • update academic plan;
  • view and print enrolment advices;
  • view and print unofficial transcripts;
  • view and print course/grade history;
  • view financial status;
  • view conditional enrolments;
  • update address, phone and email details;
  • select exam centres (external students);
  • view exam schedules;
  • update impairment details;
  • submit student ID photo;
  • print a personalised timetable;
  • pay tuition/student contribution fees and
  • complete on-line Commonwealth Assistance Form.

Students are expected to enter and maintain their contact information, exam and ID centre, DEEWR information, course enrolments and academic plan.

Accepting offers

Upon acceptance into a program, students will be sent an offer kit which will provide information on how to log on to CQUniversity systems.  The same username and password is used for all systems.

Students must accept their offer of admission before an enrolment record is created for them. It is imperative that after accepting an offer students log back in to CQUcentral two hours later to finalise their enrolment (ie. register their course enrolment). Re-enrolment for each year

Every student will be invited to register their enrolment each academic year with the exception of cross-institutional or non-award students. A communication will be emailed out in October advising that re-registration for the coming year can commence.

Each student is responsible for ensuring they are correctly enrolled in the courses necessary for completion of the appropriate year or term of their program and that the courses selected meet their program requirements. Course enrolments must be finalised by the last day to add courses for the relevant term.  For assistance contact your Program Advisor http://programadvice.cqu.edu.au .

Students who attend classes for courses in which they are not enrolled will not be permitted to enrol into such courses after the respective census date.

Cross-Instituional, Non-award, Bridging and access or Research programs

Students enrolled in cross-institutional, non-award, bridging and access or research programs will not be able to add courses online. Enrolments for these students will be handled by the Student Business Centre, the Program Coordinator or the Office of Research.

Program Advisors

During orientation, some on-campus students will be required to attend an interview with their program advisor.  However Program Advisors can be contacted at any time via http://programadvice.cqu.edu.au or call 13 27 86.

Students with specific needs

Students with a medical condition, disability or specific need should register with the Equity and Diversity Office within the Student Support Centre each year to obtain exam accommodations and other assistance. Census date

The census is the date in each term when the University counts enrolments for reporting to DEEWR. The date is also the last day of term by which students may withdraw from a course without financial liability or academic penalty. Please refer to the University's calendar of principal dates (academic calendar) for specific census date information by going to http://handbook.cqu.edu.au/ and clicking under 'Academic Calendar'.

Publication of class timetable

The draft class timetable is published on the CQUniversity website at http://timetabling.cqu.edu.au four weeks prior to the commencement of the forthcoming term. Students and staff, when reviewing the draft timetable for the forthcoming term, will have a period of two weeks (10 working days) in which to provide comment to the timetabling section prior to the publication of the official timetable.

The official class timetable is published on the CQU website at http://timetabling.cqu.edu.au two weeks prior to the commencement of the forthcoming term. Changes to the class timetable after official publication will be kept to a minimum.

Articulation

Students wishing to enrol in a higher-level program may be granted credit for studies undertaken in a lower level program in the same study discipline. For example, a student who has completed an Advanced Diploma of Engineering and wishes to upgrade to the three year Bachelor of Engineering Technology may be granted up to three terms credit towards the higher award. All credit for previous studies must be approved by the relevant faculty.

Under the Memorandum of Understanding with the Rockhampton College of TAFE and other TAFE colleges, students who have completed studies at associate diploma level may be granted credit for up to one year's full-time study in a degree level program. Change of name

Students who change their name while undertaking a program or prior to graduation (for example, by marriage) and who wish to have their student record amended, should submit a Change of Official Name form to the Student Business Centre.  This form is located from the Student Forms link at http://studentforms.cqu.edu.au .

Students are requested to supply, where possible, certified documentary evidence, such as a copy of their marriage certificate. Failure to notify the University of such changes could lead to important documents being produced with an incorrect name.

Credit for previous studies (credit transfer)

Applicants who have previously or partially completed studies towards a recognised tertiary qualification should visit the Credit Transfer website located at http://cqu.edu.au/credittransfer for more information.

An application for credit should not be made until the applicant has received and accepted a formal offer of a place from QTAC or the University. Applicants are welcome to make enquiries in advance about the amount of credit to be awarded and the nature of the resultant study program.

Applications for credit transfer will not be considered or approved after the census date for the relevant term.

Adding or dropping courses

Students are responsible for dropping courses in which they are enrolled or adding courses by going online at any time before the final dates for such enrolment changes, which are shown in the calendar of principal dates.

No courses will be permitted to be dropped after the commencement of the official examination period, which is shown in the calendar of principal dates.

No students shall be permitted to sit for, nor be entitled to receive a grade for, examinations or assessment in courses for which they are not enrolled.

Courses dropped after the specified final date (census date) will incur an academic penalty and the result of 'Withdrawn Fail' (WF).

Fees cannot be refunded if a course is dropped after the last day to drop without financial penalty as advised in the calendar of principal dates.

Students dropping courses at any time in the year should check with Austudy/Abstudy to ensure that these changes do not affect Austudy/Abstudy/Youth Allowance entitlements.

Student identity cards

All students are issued with an identity card which should be carried during attendance at CQUniversity and shown on request. The card must be presented when borrowing books from the Library, and/or sitting for examinations.

Student identification cards are issued for CQUniversity purposes only and should not be loaned and may not be transferred.

All students are required to provide the Student Contact Centre with a passport-size photo either by mail or electronically. All student ID cards will be mailed out.

Any student who loses their identity card should pay a replacement charge through the Financial Services Division before the Student Contact Centre will issue a replacement card.

All student identity cards will reflect a student's workload at the time of issue for that term. If student initiated changes have been made to the enrolment and a replacement identity card is required to show this revised workload, the student will be responsible for the cost of a replacement card.

Students should note the student number on the card, which should be quoted in all correspondence with CQUniversity.
